# Roles and access

> Permission matrix and presets for ClinZero HMS roles.

# Roles and access

Requires **Role management** permission.

Roles decide what each staff member can see and do. Permissions are granted per module (for example Patient records, Lab management) with access levels such as read or manage.

## Edit a role

1. Open **Roles & access**.
2. Select a role or create one.
3. Toggle permissions in the matrix (modules × access).
4. Save. Members with that role pick up changes on their next session / permission refresh.

Closing the role editor or refreshing with unsaved permission changes prompts you to discard or keep editing.

If another admin saved the same role while you were editing, ClinZero asks you to **reload** or **overwrite** so permissions are not applied on a stale copy.

Protected system roles (such as the workspace owner role) cannot be renamed, deactivated, or have their permissions edited. Create a custom role when you need a different permission set.

When inviting or assigning members, staff can only grant roles whose permissions are within their own access. The workspace owner can assign any role.

## Presets and compare

Use presets when available to start from a common clinic role. Compare roles if you need to align two similar permission sets.

## Why a menu item is missing

If someone cannot see **Laboratory** or **Users**, their role lacks that module’s permission, or the module is disabled for the workspace under [Workspace settings](/admin/workspace-settings).
