# Workspace settings

> Branding, timezone, modules, departments, security policy, and subscription.

# Workspace settings

Requires **Workspace settings** permission.

Open **Workspace settings** to configure the hospital workspace for everyone.

## Branding and identity

* Workspace **name**, address, and **logo**
* How the portal presents your clinic to staff

## Timezone and locale

Set **timezone** and **locale**. All portal dates and times (appointments, reports, audit) follow these settings for this workspace.

## Modules

Enable or disable feature modules your plan includes. Disabled modules disappear from the sidebar even if a role would otherwise allow them.

## Departments

Configure departments used when scheduling [appointments](/appointments/overview).

## Security policy

Workspace admins can require **two-factor authentication** for members. Staff see the policy under Profile — see [Account security](/account/security).

Also configure:

* **Inactive patient retention (days)** — when set, inactive patients without **legal hold** may be anonymized after this period
* **Audit log retention (years)** — how long events stay on the live [Audit](/admin/audit) page (empty = platform default of **6 years**). Older entries move to cold archive and leave the live list
* **Audit legal hold** — pauses audit archiving for the whole workspace. Patient **legal hold** on a chart only keeps that patient’s **Patient** audit rows on the live log

If another admin saved workspace settings (or lab print prefs) while you were editing, ClinZero asks you to **reload** or **overwrite** so your changes do not silently replace theirs.

## Subscription and invoices

Workspace **subscription** and payment invoices (ClinZero plan billing) live under **Workspace settings → Billing** — not under the patient **Billing** module, which is [coming soon](/reference/coming-soon).

### During public beta

While ClinZero is in beta:

* A **Beta** badge appears in the portal header
* A banner explains that access is **free until launch**
* **Billing** shows your plan entitlements and usage limits — not prices, upgrades, or payment methods

### After go-live

When your workspace moves to commercial billing:

* Trial or paid subscription status appears in **Billing**
* Workspace owners can upgrade plans and open the payment portal when permitted

## Data region

Data residency / region may be shown as read-only or require contacting ClinZero support to change. Follow the on-screen guidance.
