Lab reports

The first-day walkthrough ends on this page when your role includes lab access. Labs and Catalog have optional setup tours on those pages.

Prerequisites

Find a report

On Laboratory → Reports, use search (report id, patient name, or lab name). Better matches appear first while you type. On phones and tablets the list uses cards; on a large screen you get a table.

Create a report

  1. Open Laboratory → Reports, or press ⌘K / Ctrl+K and run New lab report draft.
  2. Start a new report if you opened the list instead. The draft opens as a full page (not a dialog).
  3. Choose the lab, patient mode (linked patient or standalone), and Referred by from your workspace referral catalog (doctors, hospitals, companies, or Self).
  4. Type to search referrers; use Add … to create a new doctor entry inline when someone is not listed yet.
  5. Enter results against catalog tests. Use internal notes for staff-only comments.
  6. Save as draft, or submit for pending sign-off when ready.
Use Back to return to the reports list (filters you had on the list are restored). Save, submit, publish, and print stay in a pinned footer. On a wide screen, details and live preview scroll separately so you can edit results while paging through the print layout. Closing a draft editor, following a sidebar link, or refreshing the browser with unsaved draft changes asks you to confirm before discarding. For linked patients, Referred by pre-fills from the patient’s default referrer on their chart when you leave the field unchanged.

Referral sources

Manage the catalog under Workspace settings → Referral sources. The system Self row is always present and cannot be removed. Doctor entries can optionally link to a workspace member so HMS doctors appear once in the picker (not as a separate list).

Publish workflow

Approvers can approve (publish) or return to draft. Overview may list pending sign-off items for people who can approve. When your workspace turns on Require a passing quality-control run before publish, final publish also needs a Pass IQC run today for tests that have an active control lot — see Lab quality control. The editor shows a release checklist before publish. On the release checklist you can turn on Email patient when ready when the linked patient has an email on their chart. The message is notify-only (clinic name, report id, ready time) — it does not include result values, a PDF, or a patient portal link. Patients without an email are skipped. Bulk Approve & publish has the same option for selected reports.

Turnaround time (due time)

When catalog tests have a Target TAT (turnaround time), open reports show whether work is On time, Due soon, Overdue, or Paused (while returned to draft). Published reports freeze as Met or Missed. Toolbar buttons and filters say Due time overdue and Due soon (not “TAT”) so the queue is obvious on first use.
  • The clock starts when the report is created. Use Mark sample received to restart the clock from specimen receipt (recommended for clinical accuracy).
  • Returning a report to draft pauses due time so sign-off bounce does not unfairly burn the deadline; resubmitting extends the due time by the pause.
  • Filter the list to Due time overdue or Due soon from the toolbar, or open the same queues from the overview attention cards.
  • Staff with update permission can override the due time with a required reason (audited).
Amend drafts inherit the original report’s due-time clock so corrections do not reset the promise. Use Include replaced reports to show older versions that an amendment replaced (also called superseded).

Amend

Published reports can be returned to draft or amended according to your clinic process. Re-print after changes when paper copies must match the system.

Patient chart

Linked reports appear on the patient chart. Standalone reports stay on the reports list with the identifiers you entered.

Print

Use Print on a published report. Configure layout and QR under Lab printing.

Bulk actions

On Laboratory → Reports, select up to 50 rows using the checkboxes (when your role allows bulk actions). A sticky action bar stays at the bottom of the screen while you scroll or load more batches, so you can keep selecting and acting without returning to the top. Press Esc to clear the selection. Partial success is normal: reports that do not meet the rules for an action are skipped and the rest complete.
